Sales prospecting is finding the people who might buy from you and starting a conversation with them. It's the first step of every outbound sale: before a demo, before a proposal, someone has to decide who to talk to and give them a reason to reply. Prospecting is that decision and that first message, done again every week.
This guide covers the process step by step, eight techniques and when each fits, how to build a prospecting list, and what to measure.
Prospecting vs lead generation
The two overlap. Lead generation includes everything that produces interest, including people who come to you. Prospecting is the part where you choose who to approach and reach out first. A company with no inbound at all can still prospect; it's how most B2B companies get their first customers.
The sales prospecting process in 6 steps
- Define who you're looking for. Write your ideal customer profile: the companies that fit and the people inside them who feel the problem. Without it, every other step is guesswork.
- Build a list. Find companies and people that match. Keep it short enough to work properly: 25 to 50 a week for one person.
- Research each prospect. Five minutes: does the company fit, does this person own the problem, do they still work there? See prospect research.
- Find a reason to reach out now. A job posting, a new leader, a funding round, a question they asked in public. The reason is your first line. 20 buying signals to look for.
- Reach out. Email, LinkedIn, WhatsApp where it's normal, or a call. Short, specific, one small ask.
- Follow up and record what happens. Two follow-ups that add something, then stop. Mark replies, meetings and "not a fit", with the reason, so next week's list is better.
Most prospecting fails at step 4. A list of companies that fit your profile is mostly companies that don't need anything right now. A reason to write today is what turns a fit into a conversation.
8 sales prospecting techniques
| Technique | How it works | Best when |
|---|---|---|
| Signal-based outreach | Contact companies right after a relevant event | Always; it improves every other technique |
| Warm introductions | Ask customers, investors and friends to introduce you | You have even a small network in your market |
| Cold email | A short, specific email to one person | Your buyers live in their inbox |
| LinkedIn prospecting | Connection note, then a message | Senior buyers active on LinkedIn |
| Cold calling | A call with a clear reason | Buyers who answer the phone, like owners of small businesses |
| Communities | Help in places your buyers ask questions | Your buyers gather in public groups |
| Events | Meet people in person, follow up fast | Higher prices, relationship-led markets |
| Account-based prospecting | Pick 20 dream accounts and work them deeply | Few, large possible customers |
Signal-based outreach
The technique that makes the others work. Instead of contacting everyone who fits, contact the ones where something just changed. Full method in signal-based selling, and the strongest single signal in hiring signals for sales.
Cold email
Four short lines: what you saw, why it matters, what you do, a small ask. 12 cold email templates and the deliverability basics so they land in the inbox.
LinkedIn prospecting
A connection note under the character limit that gives one reason, then a short message once they accept. 15 connection request examples, and the free character counter.
Multichannel
Most replies come from combining channels: an email, a LinkedIn note a day later, one follow-up. Multichannel outreach lays out a sequence.
How to build a prospecting list
| Source | Good for | Watch out for |
|---|---|---|
| Company job boards | Companies with a hiring signal, dated | Closed or old postings: check each one |
| LinkedIn and Sales Navigator | Finding the right person and checking they're still there | Weekly limits on searches and invites |
| Contact data providers | Work emails, company size and industry at scale | Stale records; verify emails before sending |
| Your own CRM | Lost deals and old trials worth another try | Ask what changed before writing again |
| Communities and public posts | People describing the problem in their own words | Sellers posing as buyers |
For each prospect, keep: company, website, person, title, the reason to reach out with its date and link, and the channel you'll use. That's enough. A list with 40 columns is a list nobody works.
What to measure
- Prospects contacted per week: the habit. Ten good ones a day is plenty for one person.
- Reply rate: whether the target and the first line work. Compare by signal and by type of company.
- Meetings per 100 prospects: whether replies turn into conversations.
- Reasons for "not a fit": the fastest way to fix your ICP.
Common prospecting mistakes
- Starting from a list instead of a reason.
- Contacting people who left the company. In one dataset we tested, only about 30% of records had been updated in the last year.
- Writing about yourself in the first line.
- Following up with "just checking in" instead of something useful.
- Prospecting in bursts. A week of 50 a day and three weeks of nothing teaches less than 10 a day, every day.
Doing it with Audyense
Audyense runs steps 1 to 5. Paste your website and it builds your ideal customer profile, finds companies with a dated buying signal, checks each company's own site, ranks the right people with a score you can read, writes why each one fits, and drafts the first message. You approve every message and it goes out from your own email, LinkedIn or WhatsApp. When you mark someone "not a fit" and say why, later searches leave out similar prospects.
Questions people ask
What is sales prospecting?
Finding people who might buy from you and starting a conversation with them, usually by choosing companies that fit your ideal customer profile and reaching out with a specific reason.
What are the steps of the sales prospecting process?
Define your ideal customer, build a list, research each prospect, find a reason to reach out now, reach out, then follow up and record the outcome.
What's the difference between prospecting and lead generation?
Lead generation includes everything that creates interest, including inbound. Prospecting is the outbound part, where you choose who to approach and contact them first.
How many prospects should I contact a day?
For one person doing it properly, about ten a day. Enough to learn quickly, few enough that each message is specific.
What is the best sales prospecting technique?
Signal-based outreach: contacting companies right after something relevant happens, like a job posting for the role your product supports. It makes cold email, LinkedIn and calls all work better.
